Receptionist with Invoicing and General Office Responsibilities (Western Cape - Mossel Bay)

We are seeking a highly organized and versatile individual to join our team as a Receptionist with a focus on handling invoicing and general office tasks. In this role, you will be the first point of contact for visitors and clients, providing a welcoming and professional atmosphere. Additionally, you will play a crucial role in maintaining efficient office operations by assisting with invoicing and undertaking general administrative duties.

Responsibilities:

Front Desk Operations:

   - Greet and assist visitors, clients, and employees with a friendly and professional demeanor.

   - Manage incoming calls, route them appropriately, and take accurate messages when necessary.

   - Maintain a tidy and organized reception area.

 

Invoicing:

   - Assist in the preparation and processing of invoices using basic accounting software.

   - Work closely with the finance team to ensure accurate and timely billing.

   - Follow up on outstanding payments and address client inquiries regarding invoices.

 

General Office Support:

   - Handle routine administrative tasks, such as filing, scanning, and data entry.

   - Coordinate and schedule meetings, appointments, and conference room bookings.

   - Assist with the ordering of office supplies and maintaining inventory levels.

 

Communication:

   - Serve as a liaison between different departments, ensuring effective communication flow.

   - Communicate relevant information to staff and management as needed.

 

Computer Skills:
